Telephone system setup
A Telephone Management system can be used to monitor all phone calls at the lodge. If you have installed telephones in your guest’s rooms and want to charge for calls, this is the perfect solution.
There are few a few things you need to consider before getting set up with a Telephone system:
- ResRequest has already established interfaces to some Telephone Management systems. We advise that you sign up with one of these options. Using a different system would require ResRequest to develop an interface to them which could incur additional expenses and prolong the setup. Contact our Support team for more information.
- A Telephone system can only be used with a ResRequest Property offline server. See our Enviroment Setup section to understand what it means to work with a Property server.
- The telephone line extensions are mapped to the guest room number in ResRequest on the Telephone Code Tables screen. All guests must be roomed and checked in for the charge to be allocated correctly. See our Room Allocation and Room check in tutorials for more information.
- The transfer of call charges between the Telephone system and ResRequest depends on your setup, i.e. two computers, one with the Telephone system installed and one with the ResRequest system (Property server) or both systems on the same computer. If your setup requires two separate computers, they will need to be linked by a LAN (local area network) in order for the transfer of information to work correctly.
Get setup
Step one
- Firstly, you need to sign up with a Telephone management system that ResRequest has an interface to. The installation of the system and training is managed directly between you and the vendor.
Step two
- Once the Telephone system is installed. Contact our Technical team who will map the telephone line extensions to the relevant room numbers. This is done on the Telephone code tables screen (Admin > Setup > Code Tables > Integration > Telephone). An Extra, e.g. Telephone, is created under which all telephone charges are recorded. You will need to give the Technical team a list of corresponding line extensions and room numbers for this to be set up accurately.
- The telephone system records all telephone calls made at your property so it is often useful to have two groups: Admin (for your office staff, for which no charges will be allocated) and Guests (for all guests, for which all charges will be allocated). Please specify if you would like this implemented in your setup.

The cost of using a Telephone system is subject to the vendor you chose and the contract you negotiate with them. This is managed directly between you. - ResRequest cost

There may be a rental fee for a ResRequest Property server depending on your specific ResRequest environment setup. Contact the Support team for more information.
