    Hooray! Our new responsive calendar is here!

    The Classic Rooming Calendar is being phased out soon. Tutorials will be replaced with our new, responsive Modern Rooming Calendar, already available in ver 7.30. For more information on the Modern Calendar visit our web page or contact our support team and we will give you a grand tour!

    N.B The Classic Rooming calendar will be deprecated by January 2021.

Room check out

Room check out is done when guests leave the lodge. The check out functionality is only available on a Property environment, see the Working with different Environments and ResRequest Architecture tutorials to understand what this means if you are not familiar with this concept. It is important to understand the advantages of using the check out functionality, how a single check out is processed and how to do bulk check outs. You will be working off the Rooming calendar, where all check outs are processed.

Why check out your guests?

Checking out rooms on guest departure is important for several reasons:

  • During checkout you are notified of any outstanding accounts that the guest may owe which can then be settled before they leave.
  • Payments can be recorded for any extras charged at the property.
  • Charges can be moved between guest accounts.

NOTE: Folios shown in grey are folios created on the web environment or reservations server. These may be viewed but not edited.

Check out guests

You can only check out bookings that have already been checked in. Follow these simple steps to check out a guest.

  • Select the relevant booking from the calendar (it will highlight in green).
  • Select the ‘CheckOut’ button (this button will not be available for reservations that are checked out / departing on a future date.

  • A pop-up will appear to inform you if there are any outstanding folios on the selected reservation.
  • There are various functions available on this pop up.

  1. Open document (folio/invoice) as pdf
    This allows you to open the folio/invoice document as a pdf to save or print.
  2. Open document (folio/invoice)
    This opens the document in the standard folio format. All document show/hide options and custom notes are available as well as the print, email as pdf, open as pdf.
  3. Payments
    Clicking on the credit card icon will open a dropdown with two payment options: ‘Record payment’ and ‘Credit card payment’.

    1. Record payment
      Selecting this option will direct you to the reservation record payment screen.
    2. Credit Card Payment
      If you have signed up with a Payment gateway the credit card option may be selected. You will be directed to the credit card payment screen.
  4. Generate invoice
    If the user has the relevant user access, selecting this option will generate an invoice which can then be issued to the guest if required. A pop-up will prompt you for an invoice date and an exchange rate if applicable.
  • After check out, the colour above the booking block will change to grey.

Other options on the Check out screen include:

  • Expected checkout
    Departure date of the reservation.
  • Actual checkout date
    The check-out date may be changed (Management access only. See the Access groups tutorial for more about user access)
  • Open selected as pdf
    Allows the user to open all the folios as subsequent pdfs which can be saved as one document.
  • Checkout
    You may check the reservation out with outstanding payments.
  • Create new folio
    If there are additional charges, e.g. charges on Extras, you may create a new folio and these charges may be moved to this new folio.
  • Manage folios
    Multiple folios may be changed if certain charges are for specific guests, e.g. Folio 1 for the accommodation and folio 2 for for the Extras or separate Extras such as curio charges or bar charges may be moved to separate folios and paid separately.

To continue with check out, select the Checkout option. A pop-up will notify you that the booking is checked out.

Bulk check out

You can perform check out for multiple rooms simultaneously. Ensure that no room is selected and click on the ‘Checkout’ button. The system will display a list of bookings that are eligible for check out. You may click on any of the pdfs reflected to view or print the guest’s account. Check out the required bookings by clicking on the checkboxes, then click on ‘Ok’.

NOTE: For bulk check-outs, room numbers for which there are outstanding payments are displayed in red. If you click on the pdf icon to the right of the room number you can view the proformas relevant to the room.
