Accept credit card payments at the lodge so guests may settle their bills easily and quickly before they checkout without the hassle of any cash exchange. ResRequest has interfaces to some Payment Gateways which can facilitate secure and fast credit card transactions.

Linking a Payment Gateway and ResRequest

Firstly, you will need to sign up with a Payment Gateway that ResRequest has an interface to. Then your Payment Gateway credentials must be set up in ResRequest (on the Payment Gateway screen) so that credit cards payments may be initiated from ResRequest.

Working with a Payment Gateway and ResRequest

Credit card payments can be processed in one of two ways. Internally, by a ResRequest user (who has access to do so) and externally, by the guest themselves via a Public Payments page that may be activated upon request.

Although the payment is processed by the Payment Gateway, you can initiate a credit card payment from ResRequest and then return to a ResRequest screen after the payment is complete. The payment is then automatically recorded on the relevant booking in ResRequest.

There are a few things you should be aware of when interfacing to a Payment Gateway, such as:

• This interface is not specific to a Property server and should be set up on the web environment.
• The public payments page is not property specific and if set up, can be accessed by all public users who have the link.
• A stable internet connection is required for the Payment Gateway to process a credit card payment.

Reporting

To keep track of all credit card payments per day / week / month, you can use the Payment Item report.

Access this report by navigating to Reports > Financials > Payment Item.

• Set the required date range.
• Select the method of payment that you have set up to reference your online credit card payments, e.g. ‘Online payment’ or ‘Credit card direct payment’.
• Generate the report.

The Payment Item report is useful to use for your banking reconciliation as it lists the payments per individual item and the details of each payment.
