Manually allocate room charges
Easily allocate charges to bookings through manual allocation directly from the Telephone report.
A call charge may be unallocated for a number of reasons, such as:
- The room to which the charge should go is not checked-in.
- The mapping from the telephone line extension and the room number is incorrect. This could be due to an incorrect setup or a change in your property and room setup in your Business structure.
- There is a delay or an error with the transfer between the Telephone and ResRequest system.
Manual allocation
Navigate to the Telephone report through Reports > Property > Telephone.
- Run a report for the relevant date period.
- Selecting the ‘Unallocated’ option will include unallocated charges in the report. These are identified by the ‘N’ in the Allocation column and no booking number in the ‘Res #’ column.
- To start the allocation process, click on the row of the relevant call charge.
- The Telephone Report popup will appear. Here you can select the booking to which you want to allocate the charge. A new folio will be created for the charge.
- Set the invoicing contact for the folio and select ‘Ok’.
- The charge will be allocated and you will be returned to the Telephone report. The booking will now reflect a ‘Y’ and the booking number to which you just allocated the charge.
- To ensure the charge has been allocated, click on the reservation number to open the reservation details. The telephone charge will reflect on the Extras tab
The charge will also reflect on the Financial tab on a new folio.
