Set up and manage your own Rates
If you have opted to set up and manage your own rates, start with this tutorial as a guide to the Rate creation process.
Creating your own rates requires you to understand, setup or carry out the following:
- Understanding the Rate dimensions.
- Interpreting your own Rate sheet.
- Set up the relevant Code tables which are needed to create a Rate.
- Add a new Rate.
- View and edit existing Rates using the Rate sheet.
- Editing Rates.
- Checking your Rates.
Rate dimensions
Your Rate amount in ResRequest can be defined for the combination of the following:
- Accommodation type
A property room type, e.g. “Baobab Lodge – Luxury Suite”. - Quantity
Number of pax of a particular rate group in a room, e.g. you can have a different rate for sharing, singles or 3rd adult in a room. - Rate group
A group of guests for which a rate may be defined, e.g. Adult, Child 12-17, Child <12, Tour Guide. - Rate type
e.g. Rack rate, STO rate, Complimentary. - Period
e.g. High Season.
Bear these dimensions in mind when interpreting your own Rate sheet in preparation for your Rate setup in ResRequest. Some of these dimensions are Code tables.
Code tables setup
The following code tables are used to create a Rate and need to be set up before creating any Rates. Click through to each Code table tutorial to learn how to setup each one:
- Rate period
- Rate type
- Rate component
- Tax rate (for rates subject to tax charges)
- Tax group (for components which are subject to multiple taxes / levies)
- Rate group
Once your code table setup is done, follow the other tutorials to learn how to interpret your Rates, then create Rates on the Add Rate screen and view, edit and check your Rates using the Rate sheet. Tips
Here are a few tips to consider before you start adding Rates:
- Have a plan for how you will add Rates and work through it methodically so you don’t miss anything.
- Understand which Rates can be copied to other Rates / Periods / Accommodation types etc.
- Ensure that all building blocks (Code tables) have been set up first.
- Name all Rate periods with year then definition so that in time, all years are listed together. E.g. 2013 Low Season, 2014 All Year.
- Putting an amount into a Rate is relatively quick, what takes time is the rest of the Rate set up, i.e. Component split, Rate groups etc. If there are Rates with a common set up, then copy the base set up (where amounts are) to all relevant rates and then add amounts. Essentially, create a blank template and add amounts later.
- Have two ResRequest screens open when working on rates: Add Rates and Rate Sheet, so it is easy to switch between the two. Add Rates from ‘Add Rates’, then immediately edit them from the ‘Rate Sheet’.
- Consider setting Rack Rates and working with commission for future Rates as this drastically reduces the number of Rates in your system.
- It is better, from a control, consistency and reporting point of view, to set up specific Rate Types, rather than allowing overriding of Rates at will. Perhaps have one Rate Type which can be used for overridden amounts (and on which you can report) and limit overriding of all other Rate Types.
