Bed night report

Bed night report

Navigate to Reports > Financials > Bed Night Report.

The bed night report presents an analysis of bed night occupancy per month for a selected date range.

This report is the best report to view your room occupancy through the year and is one of the best reports for the stakeholders.

The bed night report will give you a good idea what times of the year occupancy is low during which you could consider hosting specials. You could also check if your occupancy is based on nationality or agents to better focus your marketing strategies. 

Bed nights are calculated according to accommodation dates, regardless of the dates on which reservations are invoiced.

If you hover over a row title in the bed night section of the report a pop-up window will be displayed listing the itinerary items that contributed to the bed night figures in the selected row. If you click on a column heading a pop-up window will be displayed listing the itinerary items that contributed to the bed night figures in the selected month.

Here are some of those formulas:

1. Total occupied – The total number of PAX/ bed occupied/night, this is split monthly with a total value grouped and the end.

2. Potential > Total room nights:  Formula: All active rooms x number of days in the month

3. Potential > Blocked room nights: Formula: Number of active blocked rooms x block nights
4. Potential bed nights: Formula:(total room nights – Blocked room nights) x room capacity

5. %Occupancy: Formula: total occupied divided by potential bed nights x 100

Filters  

You can govern the scope of data included in the report by setting the report filters to suit your requirements.

  • Date range: Unlike most reports, the bed night report is from month to month.
  • Prop/Accomm Filter: The Property/Accomm filter isolates properties to include, e.g. only select Mara Camp to reflect bednights.
  • Agent: Select specific agent/s or all.
  • Agent country: Refine your search to a specific agent/s country.
  • Status: Select which booking status would be relevant
  • Consultant: Use this filter to only report on booking by certain consultants
  • Originator:  Same as the Agent filter, but will filter your results for bookings with specific originators
  • Source: Use the Source code filter to isolate bookings with a certain source code
  • Nationality: Further filter your results to specific nationality at Reservation level not guest level.
  • Rate type: Use this filter to isolate bookings using a specific rate type on reservations at global and itinerary level.
  • Overrides > Filter rate amount override: Filters the reservations – bed nights where the rate amount has been overridden
  • Only include reservations with overrides
  • Only include itinerary items with overrides
  • Only include reservations without overrides
  • Only include itinerary items without overrides
  • Overrides > Filter rate type override: Filters the reservations – bed nights where the rate type has been overridden
  • Only include reservations with overrides
  • Only include itinerary items with overrides
  • Only include reservations without overrides
  • Only include itinerary items without overrides
  • Authorised for agent – This is for the rates types assigned to the agent in the agent contact profile.
  • Not authorised for agent – This is for all the rate types not assigned to the agent
  • Include revenue details: includes revenue information for the filter parameters chosen
  • Include adult / child count: Splits the pax between the adult and child rate groups
  • Group by: You may make a selection from the ‘Group by’ drop-down list of options to determine the level of detail at which the report is to be presented. For example, if you choose to group by Property, then the detail section of the report will contain a row for each property.
