Rate Sheet

The Rate sheet enables you to find existing Rates. Use the filters and Report builder to narrow down the search results from which you can copy / overwrite, edit or delete existing Rates.

Navigating the Rate sheet

To open the Rate sheet, navigate to Admin > Set up > Rates > Rate Sheet.

Set the report filters to narrow down the search criteria.

Set the Prop/Accomm, Rate period and Rate Type filters to comply with the existing Rate you are searching for, e.g. Property: Mara River Lodge – Luxury Suites, Rate Type: Rack (USD), Rate period: 2018 All Year.
Date range
Leave this on ‘All’ unless you are searching for an exact date range.
Report Detail
Choose what Rate details to show in the results. We advise that you select all of these options when checking rates, but when searching for an individual Rate these details are not necessary. You can further define these filters in the options that become available once the details have been selected in the Component, Component Split and Amount filter areas.

Report builder
Use the report builder to select what Rate information to display in the report. If nothing is selected here, no results will show. We advise that you use the Property, Accommodation, Rate type, Rate period, Currency columns as active columns. As with all reports, you can save Report profiles, so that you don’t have to build the report every time you wish to view a Rate Sheet.

Once you have set your search requirements, click on ‘Generate report’.
The results will include all the Rates that comply with the filter settings. Either go through the results to check Rates or open and edit the Rate details.

Edit a Rate on the Rate sheet

To edit a Rate, hover over the Rate row till it highlights in green and click on it.
This will open the ‘Rate Edit’ popup where you can edit the Rate. See the Editing a Rate tutorial for details on how to edit Rates.

Rate Rounding

We have introduced a Rounding type, which may be set to one of:

None (no rounding is applied)
Per itinerary (rounding is applied at the itinerary line level)
Per person (rounding is applied at the Rate Group level).

Note that rounding only takes effect when commission is applied.

Copy Rates on the Rate sheet

Tick the checkbox on the Rate (or tick multiple Rates) to select target Rates whos’ settings you want to override. Click on the ‘Copy / Overwrite’ button.
This opens the ‘Select Rate’ popup from which you can search for and select an existing Rate with the settings you would like to copy. Any existing settings on the target Rates are deleted and replaced by settings copied from the Rate selected in the ‘Select Rate’ popup.

Warning
If a Rate that you select in the ‘Select Rate’ popup was ticked on the Rate sheet results screen, then that Rate and any Rates below it will have a TBA Rate once the override is complete, e.g. If you select 3 Rates (see image below) but select the second Rate in the ‘Select Rate’ popup, then the first Rate will be overwritten with the settings of the second Rate as expected but the second and third Rate will be TBA Rates.

Why?

This is due to the system first clearing the Rate of its original settings and then copying over the settings of the Rate selected in the ‘Select Rate’ screen.

Tips on coping rates

Copy Rates with Accommodation Types that sleeps more people (not less) than the Rate you are copying to. If you copy a Rate from an Accommodation Type which sleeps 2 to an Accommodation Type which sleeps 4, person 3 and 4 will have no values and the amounts will read as on the Amounts tab of the Rate Edit popup.

Copying across a Rate which sleeps less pax

Rather copy the Rate with the Accommodation Type that sleeps 4 to the one which sleeps 2.
