How to add a Rate

Once you have interpreted your Rates you will be ready to add them to ResRequest. To add a new Rate, navigate to Admin > Setup > Rates > Add Rates.

The Add Rates screen looks much like any other report screen in the system but it works a bit differently to standard reports. A similarity to other reports is that you need to set the relevant filters to generate results but instead of the results displaying existing data from the system, it displays a list of ‘non-existant’ rates.

The filters that you set will depend on your Rate structure and the type of Rate you want to create – all of which you should know after having interpreted your Rates in the previous tutorial. Due to the huge amount of data that could be returned from searching for all non-existent rates, the filters enable to you limit the search criteria.

• Search for
  Select one of the three criteria:
  • Property / Accomm Type, e.g. Mara Camp
  • Rate Period, e.g. 2018 all year
  • Rate Types, e.g. Rack (USD), STO 20 USD

The criteria you select here determines what filters appear under the ‘Where’ area below, e.g. to search for Rates for all Properties select the ‘Property / Accomm Type’ option and then narrow down your search by selecting specific Rate periods and Rate Types under the ‘Where’ area.

• Where
  Depending on which criteria you select under ‘Search for’, the filters under the ‘Where’ section will change accordingly, e.g. if you select ‘Rate periods’ under ‘Search for’ the filters under ‘Where’ will automatically adjust to show the other two options: Property / Accomm Type and Rate Types. Click on each filter to open the popup where you can select or deselect the options available for each criteria.
• Date range
  Set the date range for which you would like to create your Rate, e.g. set the date range to 1 Jan 2020 – 31 Dec 2020 to set Rates for 2020.
• Results per page
  This figure simply sets how many Rates will display per page in the results list.
• Click ‘Search’ to generate the search.

The search example below shows a list of all future non-existent Rates that could be created for ALL Properties and accommodation types, but for the Rate types: Rack (USD), STO 20 USD and the Rate Period of 2018 all year. This may be the start of creating rates for 2018 after your 2017 season.

To add a Rate from here there are two options: either copy a Rate using the ‘Copy / Add’ function (option 1) or create a new Rate using the ‘Edit Rate’ screen (option 2).

Option 1: Copy / Add rates

The ‘Copy / Add’ function enables you to copy the settings of an existing Rate across to a non-existent Rate (or several non-existent Rates).

• Tick the Rate (or Rates) you would like to create from the search result list by either selecting all or each individual Rate and click the ‘Copy / Add’ button.
• This will open a ‘Select Rate’ popup, which enables you to copy the Rate settings from an existing Rate to the new Rate. Set the 3 criteria filters and select ‘Search’ to minimise the results and to help you find the Rate you would like to copy.

• You may only select one Rate to copy.

What exactly is copied across?

All the Rate settings are carried across, e.g. Rate components, component splits and amounts. Think of your copied Rate as a photocopy of the existing Rate. However, the Property / accommodation types, Rate type and Rate period criteria that you set initially in the Add Rates filters will apply to the new Rate, e.g. if you set the Rate period of the new Rate to ‘2019 All year’ and the old Rate in the ‘Select Rate’ popup has a Rate period of ‘2018 All year’, the ‘2019 All year’ Rate period will still apply to the new Rate. This will distinguish the new Rate from the old one when you search for it in the Rate sheet.

• Once you select the Rate, wait for a popup to appear with the message, “Rates successfully copied”.

• Close the popup. Now the Rate you initially selected will be removed from the Add Rates list and can be found on the Rate sheet along with the other existing rates.

Option 2: Create a new Rate using the ‘Edit Rate’ screen

Follow these simple steps to create a new Rate from the ‘Add Rates’ results list.

• Once you have adjusted the filters and found the Rate you wish to create in the results list, hover over the Rate till it highlights in green and click on it. Select the rate you wish to create from the search result list below.

• A popup will appear asking: “ Are you sure you want to create this new rate?”.

• Click ‘Yes’ to create the Rate – this means it will become an existing Rate. Selecting ‘Yes’ will open the ‘Rate Edit’ popup where you set the components for the Rate. See the Editing a Rate tutorial for information on how to edit the Rate on this popup.
